Privacy Policy
This policy explains what Voxcruit collects, why we collect it, how we use it, and the choices you have. It covers both the customers who run interviews on Voxcruit and the candidates who complete them.
1. Who we are
Voxcruit is an AI voice interview platform operated by Pentabd. When customers use Voxcruit to screen candidates, the customer is the data controller for the interview content. Voxcruit acts as a data processor on their behalf. For account information of the customers themselves, Voxcruit is the data controller.
2. What we collect
From customers
- Name, work email, company name and role.
- Billing details required to process payments.
- Job descriptions, skill rubrics and pass thresholds you upload.
- Usage logs such as sign in time, IP address and browser type.
From candidates
- The information the customer asks you to provide, typically name, email and phone number.
- Your resume, if you choose to upload one.
- Your voice answers to the interview questions and a written transcript of those answers.
- Basic device and browser information needed to run the interview.
We do not ask for special category data such as race, religion, health status or political views. If a candidate volunteers such information in an answer, the customer who runs the interview is responsible for how it is handled.
3. Why we collect it
- To deliver the service you signed up for.
- To score candidates against the rubric the customer defined.
- To prevent fraud and abuse, such as repeated impersonation attempts.
- To improve speech recognition accuracy and scoring quality. We only use anonymised data for this and you can opt out.
- To meet our legal and tax obligations.
4. Who we share it with
We share data with three groups, and only what is needed for the job.
- Customers. Candidate answers, scores and the ranked shortlist go to the customer who created the job.
- Service providers. Cloud hosting, payment processing, email delivery, speech to text and large language model providers. All are bound by data processing agreements.
- Authorities. If we are legally required to disclose information, we will, but only the minimum needed to comply.
We do not sell personal data. We do not show third party advertising on Voxcruit.
5. How long we keep it
- Customer account data is kept while the account is active and for 12 months after closure, then deleted.
- Interview recordings and transcripts are kept while the job is open and for 6 months after the role is closed. The customer can shorten this from the dashboard.
- Billing records are kept for 7 years to meet tax law.
6. Your rights
Subject to local law, you can ask us to:
- Tell you what we hold about you.
- Correct anything that is wrong.
- Delete your data.
- Export your data in a portable format.
- Stop processing for a specific purpose, such as model improvement.
If you are a candidate, the fastest route is to contact the company that invited you to interview, since they hold your record. You can also write to us at info@pentabd.com and we will route the request.
7. Security
Data is encrypted in transit using TLS and at rest using AES 256. Access is restricted to authorised staff with role based permissions and logged for audit. We test for common vulnerabilities on every release.
No system is perfectly secure. If we ever detect a breach that affects your data, we will notify you and the relevant authority without undue delay.
8. Changes to this policy
If we make a material change, we will tell you by email or in the product before it takes effect. The date at the top of this page always reflects the current version.
